This notice explains the distinction between client-controlled HR information held in YourHR.space and account or service information controlled by Your Business Guide Ltd.
Who is Responsible
For employee, worker, contractor and other HR information uploaded or managed by a client, the client is normally the controller and decides what is held, why it is used, who has access and how long it is retained. Your Business Guide Ltd normally acts as processor by providing, hosting, maintaining and supporting the platform. Practical HR Ltd may also process information where it provides authorised platform administration or HR services. Individuals should normally contact their employer or the relevant client organisation about this data.
Your Business Guide Ltd is separately the controller for client contacts, account administration, billing, support, security, technical and contractual records that it uses for its own business purposes.
Information Processed Through the Platform
Purposes and Instructions
Client-controlled data is processed to provide the platform and agreed configuration, administration, hosting, maintenance, backup, support and security services. Processing is carried out on the client’s documented instructions unless law requires otherwise. Instructions may arise from the agreement, order form, system configuration, authorised support request or other written communication.
Sharing, Security and Retention
Relevant information may be accessed by authorised personnel, appointed developers, hosting providers and technical support suppliers where necessary to provide or secure the service. Appropriate technical and organisational measures are used, including role-based access, restricted administration, secure connections, approved storage, backup and incident controls. The client controls operational retention within the live platform. End-of-service export, access and deletion arrangements are governed by the contract and agreed offboarding process; backup data may remain temporarily until overwritten through the normal cycle.
Rights and Concerns About Client-Controlled Data
Requests concerning employee or HR data controlled by a client should normally be made to that client. Where we receive such a request, we will refer it to the relevant controller and provide reasonable assistance. For information controlled directly by Your Business Guide Ltd, the rights and contact arrangements below apply.
Your Rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, receive certain information in a portable format, and withdraw consent where consent is relied on. These rights are not absolute and legal exemptions may apply. We may need to verify your identity.
