We take data protection, confidentiality and information security seriously. YourHR.space is designed to help employers manage HR information, documents, policies, forms and related employment records in a secure and controlled way.
Our Role
Where a client uses YourHR.space to upload, store, manage or process employee, worker, contractor or other HR-related personal data, the client remains the data controller for that data.
This means the client decides what information is uploaded, who it relates to, who should have access to it, how it is used within their organisation, and how long it should be retained.
Your Business Guide Ltd acts as data processor for client-controlled personal data processed through YourHR.space. We process this data to provide the platform, system administration, hosting, maintenance, configuration, support and related services.
Your Business Guide Ltd is also data controller for its own business records, including client account administration, billing, service communications, support records, supplier management and internal business records.
Client Responsibilities
Clients are responsible for ensuring that they have an appropriate lawful basis for the personal data they upload to YourHR.space.
Clients are also responsible for managing their own employee communications, privacy information, user access decisions, HR processes, retention decisions and employment-related decisions.
Security and Confidentiality
We use appropriate technical and organisational measures to protect personal data and confidential information. These include, where appropriate:
Access to client data is limited to authorised personnel where there is a legitimate business need, such as providing support, configuration, maintenance, troubleshooting, administration or related services.
Suppliers and Technical Providers
We use appointed developers, hosting providers and technical service providers to support the development, hosting, maintenance, storage, security and technical operation of YourHR.space.
Where those providers process client-controlled personal data on our behalf, they act as sub-processors. Appropriate confidentiality, data protection and security arrangements are put in place where required.
Data Breaches and Incidents
We have procedures for reporting, assessing, escalating and recording actual or suspected data protection or information security incidents.
Where we act as processor and become aware of a personal data breach affecting client-controlled data, we will notify the relevant client/controller without undue delay so that they can assess any reporting obligations.
Where we act as controller, we will assess whether notification to the Information Commissioner’s Office or affected individuals is required.
Retention and Deletion
Client-controlled data held within YourHR.space is retained, amended, exported or deleted in accordance with the client’s instructions, the agreement between the parties and applicable data protection requirements.
Your Business Guide Ltd retains its own business records only for as long as necessary for legal, contractual, accounting, operational, insurance, dispute management or legitimate business purposes.
